Job Description

Step into the exciting world of talent management as a part-time Executive Assistant for a thriving agency. In this role, you’ll be the linchpin of our operations, managing high-volume communications and coordinating schedules for both seasoned professionals and emerging artists in the modeling and acting industries. Your efficient handling of emails, appointments, and client relations will be crucial to our agency’s success and the career growth of our talent roster. This position offers a unique blend of administrative expertise and entertainment industry insight, providing an excellent opportunity to build a career in talent management while working in a flexible, part-time capacity.

Responsibilities

  • Manage a bustling inbox, responding promptly and professionally to a high volume of emails from talent, industry professionals, and potential clients
  • Coordinate and schedule appointments, auditions, and meetings for both established talent and prospective clients, ensuring smooth operations and maximizing opportunities
  • Serve as the primary point of contact for all talent inquiries, handling communications with poise and discretion
  • Maintain and organize complex calendars for multiple talents and agency executives, demonstrating exceptional time management skills
  • Handle various administrative tasks related to talent management, including updating talent profiles, processing paperwork, and assisting with contract administration
  • Collaborate with the agency team to ensure all talent needs are met and opportunities are maximized
  • Assist in organizing and coordinating agency events, showcases, or talent workshops as needed

Requirements

  • Proven experience as an Executive Assistant, preferably in the entertainment industry or a fast-paced professional services environment
  • Exceptional written and verbal communication skills, with the ability to interact professionally with high-profile clients and industry contacts
  • Strong organizational abilities and meticulous attention to detail, capable of managing multiple priorities simultaneously
  • Proficiency in email management, calendar scheduling tools, and general office software (e.g., Microsoft Office Suite, Google Workspace)
  • Ability to work independently, take initiative, and adapt quickly in a dynamic environment
  • Discretion and ability to handle confidential information with utmost professionalism
  • Interest in or familiarity with the entertainment industry, particularly modeling and acting, is highly desirable
  • Availability to work part-time, 20 hours per week, specifically Monday, Tuesday, Thursday, and Friday from 1 PM to 6 PM
  • Comfortable with remote work and ability to maintain a reliable internet connection
  • Strong problem-solving skills and a proactive approach to anticipating needs and resolving issues
  • Enthusiasm for the entertainment industry and a desire to grow within a talent management environment
